We are looking for an Executive Assistant to provide administrative support to the SVP and 2 VPs at Charles Schwab. The Executive Assistant will manage complex scheduling, travel, expense reports and other administrative responsibilities with the utmost confidentiality. The Executive Assistant will be a self-manager and have the self-confidence and experience to manage a complex and fast-paced office, while also being the glue that brings the team together.
What you’ll do:
Provide administrative support to the SVP and 2 VPs.
Calendar management, scheduling meetings/calls for internal and external participants.
Work with Administrative staff to coordinate scheduling with Senior Executives.
Set up regular 1:1 with Direct Reports and Business Partners and reschedule conflicts as they occur.
Set up routine staff meetings Set up other meetings that may be required on short notice.
Coordinate teleconferences and offsite meetings, utilizing WebEx when necessary.
Manage travel arrangements and expense reports.
Manage new employee onboarding process to include coordinating interview schedules, candidate travel, secure seating, procurement of supplies and technology.
Prepare materials utilizing an array of tools including Excel, Word, PowerPoint and Visio Order supplies through the Ariba system and other catalogs for the staff.
Other duties as may be assigned.

What you have:
Essential skills include:
5 plus years of Executive Administrative Assistant experience.
Highly developed PC skills, including demonstrated proficiency with Microsoft Word, Excel, PowerPoint, Outlook and Visio.
Strong organizational and administrative skills with the ability to anticipate, improvise, and adapt for optimal resolutions.
Outstanding interpersonal skills, work effectively on a team, maintain composure in stressful situations, and work under deadline pressures.
Highly productive, able to work effectively on a variety of projects simultaneously.
Excellent verbal and written communication skills -- able to communicate directly, concisely and/or diplomatically as required, knowing how, when and what to communicate.
Experience interacting with senior management level executives.
A minimum of a high school diploma, Bachelor's degree preferred.
Pro-active, results-oriented style delivering outstanding quality and timeliness, while working independently with little supervision.
Ability to develop and maintain strong partnerships within and outside the organization.
Resilience in a client-centered business model, where adaptability and communication skills are key.
