Our Opportunity:

Charles Schwab Investment Advisory (CSIA) is seeking an Administrative Assistant to support the group’s Chief Investment Officer, SVP. CSIA consists of a team of over 35 investment professionals focused on rigorous investment manager research. Based on parameters developed by Schwab, CSIA provides research and evaluates managers for the Schwab Mutual Fund and ETF Select Lists, the Schwab Managed Account Select® wrap fee program, and provides portfolio management services for Schwab Managed Portfolios™ (SMP), a Schwab-sponsored wrap fee program, as well as the technology-driven ETF portfolios of Schwab Intelligent Portfolios.

What you’ll do:

  • Management of complex calendars, including scheduling and coordinating logistics for internal and external meetings, such as All-Staff meetings, webcasts, video conferences and conference calls involving members of the leadership team.

  • Plan, coordinate and manage travel arrangements to include transportation, lodging, dining, conference rooms, etc.

  • Support special departmental projects as needed

  • Utilize expertise in PowerPoint to create impactful presentations

  • Onboarding process for new employees and contractors

  • Maintaining org charts, team contact and distribution lists

  • Providing support to the management team as needed, including arranging travel, processing travel expenses, ordering supplies and other administrative tasks as needed

  • Contract and invoice processing

  • Ordering, renewal and maintenance of subscriptions

What you have:

  • Bachelor's degree and administrative or executive support experience highly preferred

  • Strong PC skills, including demonstrated proficiency with Microsoft Word, Excel, PowerPoint, and Outlook

  • Excellent written and verbal communication skills

  • Excellent time management skills and ability to juggle multiple, competing priorities, with strength in identifying and implementing solutions when applicable
