Schwab Operations provides operational support for all Schwab enterprises including, but not limited to, Advisor Services, Investor Services and Schwab’s International business. Schwab Operations supports external and internal clients, Branch financial consultants and Independent investment advisors to fulfill our purpose of championing every client’s goals with passion and integrity. The Operational Services organization at Schwab partners with client enterprises to deliver on service promises to Schwab clients. We are responsible for protecting and safeguarding the assets of the firm and our clients while continuing to increase scalability and efficiency. The key areas of focus in Operational Services are:
Delivering on our service promise
Managing risk (operational, regulatory and financial)
Executing and driving scale and efficiency
Ensuring quality results
Compliance with regulations
What you’ll do:
This individual will provide administrative support to the Senior Vice President of Operations in our Lone Tree location and also provide support a group of Vice Presidents in several locations. Within a highly dynamic, challenging, and fulfilling environment, responsibilities include, but are not limited to:
Management of multiple complex calendars including scheduling meetings, video conferences, trainings (off-site and/or internal) and group events
Plan, coordinate and manage extensive travel arrangements to include transportation, lodging, dining, conference rooms, etc.
Organizing group meetings, off-sites, and other social events for combined productivity and culture building
Establish and maintain effective, cooperative and professional business relationships with all levels of management, employees and key business partners
Assist with developing and updating complex PowerPoint presentations, Excel spreadsheets and documents in support of team activities
Develop and maintain strong relationships with the entire Operational Services Leadership team in all the centers
Assist with administration of new employees (supplies, system access and general onboarding)
Identify opportunities and offer suggestions on how to streamline existing admin processes
Completes expense reports timely and accurately
Ability to prioritize competing priorities
Negotiate favorable terms with lodging and catering vendors
Effectively manage competing priorities
Capture meeting notes and action steps
Copying, filing, faxing, research and ordering supplies
Coordinate special projects as they arise and develop. Which includes, but is not limited to, community partnership events, facilitating outside board membership activities and assisting with executive sponsorship responsibilities.
Extensive site level support working with facilities, security, telecom, etc.
What you have:
In this position, you will interact with personnel at all levels including Senior Executives. This position requires the ability to deal with sensitive and confidential information with diplomacy and discretion, as well as a high degree of accuracy and attention to detail. Must demonstrate excellent written and verbal communication skills.
At least 5 years of administrative assistance experience
Bachelor degree is preferred
Situational perception, a strong work ethic and be a high-energy, self-motivated professional.
Ability to foresee potential challenges and demonstrate proactive resolution before issues arise
Ability to exercise judgment regarding information which may be confidential or material, non-public
Excellent people skills, customer service skills and effective written and verbal communication skills.
Ability to work independently, detail-oriented, organized and able to prioritize multiple projects against deadlines
Thrive in a fast-paced environment - be flexible, and willing to help outside of usual duties.
Ability to work collaboratively as part of an office team is a key success driver.
Proficiency in Microsoft Office
